Archiving and deleting Plans that are no longer needed is an important practice to reduce data storage, improve OnePlan performance and reduce the report refresh times.
Practice 1: Delete Test and Mistakenly Created Plans
- On a monthly basis the OnePlan Administrator should identify Test and Mistakenly Created Plans
- Once these Plans are confirmed, follow this process to delete: Delete or Archive a Plan – PPM Works
Practice 2: Archive Plans
- On a monthly basis the OnePlan Administrator should Archive any Plans that no longer need to remain visible in the UI but WILL remain reportable in ODATA
- Delete or Archive a Plan – PPM Works
- Restore archived plans – PPM Works
Practice 3: Final Plan Deletion
- On a yearly basis the OnePlan Administrator should follow this procedure to finally delete plans
- Identify Plans, including previously Archived Plans, that are no longer needed in OnePlan and are no longer needed in OnePlan reporting
- Start an Excel file to maintain an ongoing list of Final Deleted Plans
- Follow this process to take a Full Backup of OnePlan {Link to how to Article} – Name the Backup something like “2024 Year End Backup Before Deletion”
- Permanently save the backup file and Excel file in case there’s a need to recover
